What CertiFlow does

CertiFlow is a complete record system for refrigerants: from the charge an engineer books on a roof to the export you hand an auditor.

Eight parts, all in use. Each one shows a screenshot from the real product and the place in the code the behaviour comes from.

01

Logbook

Every refrigerant operation — charging, topping up, recovery, leak check, decommissioning — becomes one row, with date, engineer, installation, cylinder, refrigerant, quantity, GWP and CO₂ equivalent. Updates and deletes are blocked in the database, not in the application.

  • Rows cannot be altered or deleted, by anyone
  • Corrections are new rows with a mandatory reason, linked to the original
  • The corrected row stays visible and is marked as such
  • Filter by installation, cylinder, refrigerant, period and engineer

02

Scanning and booking

The phone camera recognises the QR code on a cylinder or installation and opens the booking form with everything already known. No separate scanner, no app from a store.

  • Works with the camera on any modern phone
  • Scan a cylinder and CertiFlow knows which installation it was last used on
  • Manual entry is always available when a code is unreadable
  • Add to the home screen; opens without a browser bar

Cylinder management

Every cylinder has its own card with contents, refrigerant, assigned engineer and full history. The balance follows every booking, and a booking that would take it negative is refused.

  • Balance per cylinder, updated on every booking
  • A booking that would take the balance negative is refused before it is stored
  • Assign cylinders to engineers; by default they see only their own
  • Scanning always works, including on a cylinder not assigned to you

Installations and sites

Installations belong to a site, sites belong to a customer. Addresses are looked up by postcode and house number, so the same street never ends up spelled two ways.

  • Register a site with several installations in one go
  • Address completion by postcode and house number
  • Refrigerant and charge per installation, with the CO₂ equivalent alongside
  • Installation details can be corrected — only the logbook is immutable

05

Leak check status

The dashboard works out how much CO₂ equivalent each installation holds, checks when it was last inspected, and sorts by urgency.

  • Overdue, due within 30 days, or never checked — at a glance
  • Installations above 5 tonnes CO₂ equivalent shown separately
  • Cylinder stock and twelve months of refrigerant movement
  • When data fails to load you see an error — never a false "all clear"

Export

The logbook and installation overview come out as CSV or XLSX, with the columns that belong in them. You can look at the files before becoming a customer — they are on this site.

  • Logbook as CSV or XLSX, with GWP and CO₂ equivalent per row
  • Installation overview with address, customer, refrigerant and charge
  • Filter by period before exporting
  • No export fees, no limits, including after you cancel

Users and permissions

Engineers book, managers correct and invite. Permissions live in roles, and what someone may not do they do not see — the button is absent and the server refuses the request.

  • Roles with per-action permissions, not one "is admin" switch
  • Invite by email, activate without a password
  • Sessions can be revoked per user
  • Unlimited users on every plan

Mobile and multilingual

The field side is its own screen, not a compressed dashboard. The whole product is available in Dutch and English, and you can adjust the wording if your company uses different terms.

  • A dedicated mobile view with large buttons and one action per screen
  • Dutch and English, set per user
  • Wording editable from the admin console
  • Runs in the browser; nothing to install from a store

The exports on this site come from a real CertiFlow environment. Download them, send them to your adviser, and judge for yourself.
